UTK Gmail Configuration Instructions

Outlook for Windows
Outlook for MacOS
Gmail App  (iPhone | iPad | Android)
Other Mail App  (IMAP/POP - Apple Mail | Windows Mail | Thunderbird)


Outlook for Windows

  1. Open Outlook
    You will be prompted to add an account if this is the first time you are using the app.
    *If you are adding a new account to an exisiting profile, open Outlook and choose File>Account Settings>Account Settings>New
  2. Enter your UTK email address and click 'Advanced Options' below the email address field.
    Choose 'Let me set up my account manually'.
    Click the Connect button.
  3. Select 'Google' as the account type.
  4. Enter the Gmail IMAP server information then click Next.
  5. Authenticate to your account.
    Follow the prompts on the screen to enter your account information.

  6. Once the account is added, uncheck the box for 'Set up Outlook Mobile on my phone, too'
    Click OK

  7. Your account is now added and ready to use.

 

Outlook for MacOS

  1. Once Outlook is installed, open Outlook and you will be promtped to add an account.
    *If you are adding a new account to an exisiting profile, open Outlook and choose Outlook>Accounts>Add Account
  2. Enter your UTK email address and click Continue
    Quickly
    , choose the 'Not Office365?' option in the upper right of the next screen
     
  3. Choose Gmail from the menu provided
    *If you see a login prompt, close the login prompt to view the account type menu
  4. Your default browser will open a Google sign-in screen.
    Follow the prompts on the screen to enter your account information.

  5. If prompted, Allow Microsoft to access your Google account for use in Outlook
  6. Once you click allow, you may see an alert asking for permission to open Outlook. Choose 'Open Link' from the alert window to go back to Outlook setup.
  7. Outlook will open and your account will be added.

 

Gmail App

*OIT recommends the Gmail App on iOS and Android devices.

iOS Device (iPhone | iPad)
    1. On your iPhone or iPad, open the Gmail app Gmail.
    2. In the top right, tap your profile picture.
    3. Tap Use another account.
    4. Choose Gmail as the type of account you want to add.
    5. Follow the steps on the screen to add your account.

 
Android Device
    1. On your Android phone or tablet, open the Gmail app Gmail.
    2. In the top right, tap your profile picture.
    3. Tap Add another account.
    4. Choose Gmail as the type of account you want to add.
    5. Follow the steps on the screen to add your account.


Other Mail Clients (IMAP)

  1. Allow Access to Gmail for Less Secure Apps
  2. Before configuring an IMAP mail client, you will need to ensure IMAP is enabled for your account.
    1. On your computer, sign into your UT Gmail account via a web browser.
    2. In the top right, click the Settings Settings icon.
    3. Click Settings.
    4. Click the Forwarding and POP/IMAP tab.
    5. In the "IMAP access" section, select Enable IMAP.
    6. Click Save Changes.
